Privacy Policy

This policy explains what information the Quasar organising committee of B.K. Birla Institute of Engineering & Technology (BKBIET), Pilani (“we”, “us”) collects through bkbietquasar.in, why we collect it, and how we look after it. It applies to everyone who visits the site or registers for Quasar.

1. Information we collect

When you sign in with Google: your name, email address and profile picture, as shared by your Google account. We do not receive your Google password and we do not access your Gmail, Drive, contacts or any other Google data.

When you register: your full name, category (Boys / Girls), college roll number, phone number, college name, the sports you choose, and a photo of your college ID card.

Automatically: basic technical information that every website receives, such as your IP address, browser type and the pages you visit, kept in our hosting providers’ logs for security and troubleshooting. We do not use advertising or tracking cookies. Signing in stores a login session in your browser so you stay signed in.

2. How we use it

  • To verify that you are an eligible student, using your ID card, name and roll number.
  • To approve or reject your registration and show you its status.
  • To organise teams, fixtures, schedules, accommodation and mess arrangements.
  • To contact you about your matches, schedule changes, results and prizes.
  • To keep the event safe and fair and to prevent fraudulent or duplicate registrations.

We do not sell, rent or trade your information, and we do not use it for advertising.

3. Who can see your information

Your registration details and ID photo are visible only to you and to authorised members of the Quasar organising team who review registrations. Your ID photo is stored privately: it cannot be opened by anyone who only has its address.

We use these service providers to run the site, and they process data only on our behalf:

  • Google: sign-in.
  • Supabase: account login and the registration database.
  • Cloudinary: private storage of ID card photos.
  • Render and Vercel: hosting of the website and its server.

These providers may store data on servers outside India. We may also share information with BKBIET administration where needed to run the event, or when required by law.

4. How long we keep it

We keep registration data, including ID card photos, only as long as needed to run Quasar and settle any results, prizes or disputes. We delete it within 90 days after the fest ends. Your sign-in account can be deleted at the same time or earlier on request.

5. Security

Data is sent over encrypted (HTTPS) connections. Access to registrations is limited to approved organiser accounts, and ID photos are stored as private files. No system is perfectly secure, but we take reasonable care to protect your information.

6. Your choices and rights

  • You can view your registration at any time on the Register page.
  • You can edit it while it is pending or not approved.
  • You can ask us to correct or delete your data, or withdraw your registration, by emailing aayush09345@gmail.com. Withdrawing may mean you can no longer take part.
  • You can remove Quasar’s access to your Google account at any time from your Google Account settings (Security → Third-party apps & services).

7. Event photos

Photos and videos are taken during the fest and may appear in the Moments gallery on this site and on Quasar’s social media. If you would like a photo of you removed, email us and we will take it down.

8. Children

Quasar is meant for college students. If you are under 18, please register only with your parent or guardian’s permission.

9. Changes to this policy

If we change this policy, we will update it on this page and change the “Last updated” date above.
